Key & Access Policy Agreement

This Key & Access Policy forms part of the tenancy arrangement at Hyatto Business Suites, 125 Marine Drive, Colombo 04, Sri Lanka. It explains how keys, access tags, remotes, parking remotes, and other access devices must be handled during a tenancy.

Overview

Issued Items

Management may issue keys, access tags, remote controls, parking remotes, and other access devices for authorised use. Every issued item remains the property of Hyatto Office Complex and must be used only for the premises and purposes approved by management.

Tenant Responsibility

Keep every issued item secure and prevent unauthorised use. Report a lost, stolen, damaged, or malfunctioning item to management immediately. The tenant is responsible for misuse, negligence, or unauthorised access caused by an issued device.

Lost, Stolen, or Damaged Items

Replacement charges apply when an issued item is lost, stolen, damaged, or not returned:

  • Access tag: LKR 3,000.00
  • Key: LKR 2,000.00
  • Remote control: LKR 7,000.00

Additional charges may apply for lock replacement, reprogramming, emergency locksmith service, or access system resets. Management may require further security measures where the risk warrants them.

Return of Issued Items

Return all issued keys, tags, remotes, and access devices on or before handover or termination of the tenancy. Unreturned items may be deducted from the security deposit, together with replacement, reprogramming, administration, or security charges. Handover is complete only after management verifies every return.

Tenant Acknowledgement

The tenant confirms receipt of the items recorded in the signed tenancy handover schedule and agrees to comply with this Key & Access Policy. The signed schedule should record the tenant name, premises or office reference, contact details, issued items, and handover date privately.

Agreement and Handover

The parties should complete the private handover schedule and sign it when items are issued or returned. The schedule is part of the tenancy records and should be retained by both parties.

Policy Administration

Management may update this policy when the building, access system, charges, or security procedures change. The version supplied with the current tenancy agreement applies to that tenancy unless the parties agree otherwise in writing.

Witness Clause

The parties acknowledge that this policy has been made available with the tenancy documents and forms part of the access and security rules for the premises.
